Copier fleet billing calculator

Upload a CSV meter export, match its columns, set the contract terms and see the overage for every device in your fleet. Mono and colour are billed separately. Download the results as a CSV.

Most collectors export meter reads as a spreadsheet, and every one lays it out differently. Match the columns once, and the calculator works out pages used, pages over the allowance and the charge for each device.

Your files stay in your browser. Nothing you upload is sent anywhere.

Calculator

1. Add your meter export

Use one file that has several read dates for each device, or two files: the previous reads and the current reads. Upload a CSV or paste its contents.

Number of files

With one file, the earliest read for each device is its previous read and the latest is its current read. With two files, we use the latest read for each device in each file.

How it works

  1. The file is read in your browser. We find each device by its serial number and pick its previous and current reads.
  2. Pages used is current minus previous, for each meter.
  3. Pages over is used minus the included pages, and never goes below zero. The allowance is applied once, whatever the number of days between the two reads.
  4. Charge is pages over times the price per page, rounded to the nearest cent, with halves rounded up. Add the base charge to get the device total.

What it checks

Dates it can't read, with the row number. A derived meter below zero. A device missing a previous or current read. A meter reading lower than before. Duplicate rows for the same device, meter and date.

Questions

Is my data stored or sent anywhere?

No. Your files stay in your browser. Nothing you upload is sent anywhere. If you close or reload the page, the file is gone. The only thing saved is a mapping you choose to save, and it holds column choices, never your data.

What files work?

CSV exports with a header row, separated by commas, semicolons, tabs or pipes. The file needs a serial number, a read date and one or more meter columns, either one column per meter or one row per reading. Meter readings should be cumulative totals, not the difference for the period. Excel files need saving as CSV first.

What does pooled mean?

A pooled contract lets the devices share their included pages instead of each keeping its own. You enter the included pages for one device. We add that number up once for every device that carries the meter, then compare it with the pages all those devices used together. A quiet machine can cover a busy one.

Can you show a pooled example?

Three devices each include 5,000 mono pages, so the shared allowance is 15,000. They use 7,200, 3,100 and 6,400 pages, 16,700 in all. That is 1,700 pages over the allowance. At $0.01 a page the overage is $17.00. With separate allowances, the first and third devices would be over (2,200 and 1,400 pages) and the second would not get credit for its 1,900 unused pages, so the charge would be $36.00. Example figures only. Colour is worked out the same way, separately.

What if the reads aren't a month apart?

The calculator uses each device's earliest and latest read (or its previous and current file read) and applies the included pages once to the pages used in between. It does not adjust the allowance for the number of days. If a device's reads are more than 45 days apart, you'll see a warning beside that device. If the gaps differ between devices, you'll see one warning for the whole fleet. Check the dates, or use reads that match your billing period.

Why is a device's overage missing?

A device's overage is skipped when its numbers can't be trusted, for example it has no previous or current read, its meter is lower than before, or it has conflicting duplicate rows. Its base charge is still included. The message beside it says which. Fix the cause in your file and the overage appears.

Is it free?

Yes. The calculator is free and needs no account.
